Acceptable Use Policy

Version: 2.2 (February 2026) | Applicability: All Users (Teachers, Admins, and School Staff)

1. User Roles & Access Control

Access to Mark Mate is governed by specific role-based permissions. Users must stay within the boundaries of their assigned role:

Teacher Create classes, assessments, students; grade work; use AI features. Cannot manage other users or school-wide settings.
Teacher Admin All Teacher capabilities + manage assigned staff. Cannot manage school-wide system settings.
School Admin Full management, user oversight, Wonde integration. N/A

Wonde-Synced Users: To maintain MIS integrity, these accounts are Read-Only for class and student structures. You cannot manually create, edit, or delete classes or assessments synced from your school MIS.

2. Content Standards & Technical Limits

To ensure system stability, users must adhere to the following upload constraints:

2.1 Supported File Types

  • Documents (Work/Rubrics): PDF (.pdf), Word (.doc, .docx), Excel (.xlsx, .xls), CSV (.csv), Plain Text (.txt).
  • Images: PNG, JPG, JPEG, GIF, BMP, SVG, WEBP.
  • Video: MP4, MOV, AVI, WMV.
  • Audio: MP3, M4A, WAV, MPGA, WMA.

2.2 Data Constraints

  • Max File Size: 12 MB per upload.
  • Max Request Payload: 1 MB.
  • Bulk Import Limit: 50,000 bytes (approx. 2,000 names).
  • Student Names: Max 255 characters (Accepts: Letters, hyphens, apostrophes; Rejects: Numbers, special characters).

3. AI Feature Protocols

Mark Mate utilises OpenAI's current language models for specific tasks. All outputs are drafts and must be reviewed by the Teacher under the DfE "Three M's" Framework (Meaningful, Manageable, Motivating).

Feature Purpose
AutoMark Deep analysis of student work (images/documents) against learning objectives, with automated content moderation.
Feedback Transformation Tone, length, and reading level adjustments. Includes DIRT suggestions (Redraft, Check Understanding, Show Me tasks).
Natter Processing Converting spoken teacher notes into structured written feedback.

Human-in-the-Loop: You MUST review, edit, and approve all AI-generated feedback before sharing it with students. Using AI to generate unverified grades for high-stakes formal examinations is strictly prohibited.

4. Data Handling & Privacy

  • Data Minimisation: Do NOT send student names, emails, UPIs, or school names to AI providers. The platform is designed to exclude these identifiers automatically.
  • De-identification: You acknowledge that Mark Mate may use de-identified, aggregated data to improve proprietary educational algorithms.
  • Temporary Storage: Temporary files uploaded for AI analysis are automatically deleted after 24 hours.
  • Session Security: Sessions automatically time out after 120 minutes of inactivity.

5. Prohibited Actions

Users are strictly prohibited from attempting the following:

  • Automated Extraction: Using "spiders" or "scrapers" to extract platform data.
  • Circumventing Security: Attempting to restore "Soft-Deleted" assessments or viewing other users' classes.
  • Input Misuse: Submitting content containing malicious logic, unauthorised scripts, or harmful/discriminatory inputs.
  • Rate Limit Abuse: Exceeding 5 login attempts per minute or otherwise abusing platform rate limits.

6. Account Security & Enforcement

  • Security Measures: Users are encouraged to enable Two-Factor Authentication (2FA). All sensitive credentials (OAuth tokens) are encrypted via AES-256.
  • Account Deletion:
    • Individual Users: You may delete your account at any time through your account settings. Your data will be permanently purged after a 30-day retention period.
    • School-Managed Users: School-managed accounts cannot be self-deleted. Account disabling is managed by School Administrators. Disabled accounts preserve data to comply with school retention policies.
  • Suspension: We reserve the right to suspend or terminate any account that violates this AUP or threatens the security posture of the platform.
